We are seeking a detail-oriented and organised EU 261 Claims Administrator to join our team in Warsaw, Poland. In this role, you will be responsible for managing and processing passenger claims under EU Regulation 261/2004 & Montreal Convention. You will work with precision and efficiency to ensure all claims are handled accurately and in compliance with regulatory requirements, while providing professional support to our customers throughout the claims process. Manage and assess EU261, Montreal Convention, refund claims from receipt through to resolution. Investigate claims by gathering and analysing information from multiple systems and supporting documentation. Review claim eligibility in line with regulatory requirements, company policies, and procedures. Respond to customer correspondence and enquiries professionally while meeting service level targets. Monitor claim deadlines and manage a high-volume workload in a fast-paced environment. Maintain accurate and up-to-date records across claims systems, databases, and reporting tools. Prepare claim assessments and recommendations, ensuring the timely processing and payment of approved claims. Identify trends, risks, and opportunities for process improvement, escalating issues where appropriate. Qualifications
Proven experience in claims administration, customer service, or related administrative roles Proficiency with Microsoft Office applications (Word, Excel, Outlook) Excellent organisational and time management skills Ability to analyse information and identify claim eligibility accurately Strong written and verbal communication skills in English; Polish language skills are a plus Attention to detail and commitment to maintaining high accuracy standards Experience with claims management software or CRM systems (preferred) Familiarity with the aviation industry or regulatory compliance environments (preferred) Ability to work independently and as part of a team in a fast-paced environment Problem-solving mindset with the ability to handle complex claim scenarios
